- A summary count (total guests, total tables)
What to include in a venue-ready PDF
A strong seating chart PDF has two sections: 1. A visual floor plan with tables numbered and positioned roughly as they will appear in the room 2. A list view with table number, guest names, and any dietary or VIP flags
The list view is often more useful to the banquet team than the visual. Make sure both are in the same document.
Common export mistakes
- Exporting only a visual diagram with no names
- Using a personal shorthand for dietary codes that the venue team has never seen
- Sending a file that requires software to open (always send PDF)
- Exporting before final RSVP confirmations are locked
- Not including a total guest count on the document
How to handle last-minute changes
Changes happen after the chart is exported. Have a protocol:
- Keep one version labeled "FINAL - [date]"
- If a change is made after the final export, send an updated PDF immediately and confirm receipt with your venue contact
- For day-of changes at the door, brief one person on your team to manage name adjustments without creating chaos
